DANTOM Systems Data Analytics

DANTOM Data Analytics is an innovative suite of products and services that functions as an extension of your back office. Designed to increase your right party contacts, it reduces mailing and litigation costs while increasing the efficiency of your team. 

Data generated by the analytics process is sent instanteously to your collection software system using DANTOM's industry-leading partner software interfaces. As a result, you always have the most recent information at your fingertips. DANTOM also uses the results to suppress undeliverable and inappropriate documents before they are printed. Every service is optional and can be applied to all of your documents or only to selected letter codes. This gives you the ability to enforce your business rules and control your expenses.

Right Party Contact
There is little point in mailing a document that cannot possibly reach the responsible party. Therefore, DANTOM offers several data analytics tools to determine if the address is correct and update it when necessary.

Address Standardization
This service filters every address data element received from your file transfer through multiple address standardization software to increase deliverability. Equally as important, this service also qualifies your organization to received automated postage discounts. 

National Change of Address (NCOA)
A service provided in conjunction with the USPS, this service locates any filed change of address and automatically updates the address on the document and in your collection system. You also eliminate the move update charge incurred from the USPS when using an out-of-date address. Just as valuable, this service identifies a Moved Left No Forward address and suppresses the document. It is impossible for this letter to reach the responsible party so printing and mailing it is a waste of money. DANTOM electronically returns this address so your system can apply your business rules to determine if a skiptrace is the next best step.

Address Element Correction
Through the collaboration with the USPS, this service corrects missing or incorrect address elements by comparing them against known addresses. This service enables a letter that otherwise would have been undeliverable to reach the responsible party.

Electronic Return Mail (ERM)
This service identifies addresses that could not be standardized, removes them from production and sends an electronic report listing the reason the address failed. This eliminates the cost of a letter that is undeliverable and updates your collection system of the need for a good address.

Address Change Service
Address Change Service from the USPS and delivered through DANTOM Systems can assist with return mail processing. This service provides return mail data electronically. Depending on the options selected, the USPS will either forward the physical piece of mail when possible or destroy it.

Option 1 functions much like the traditional Return Service Requested. Mail is not forwarded but is destroyed and, when possible, the new address is provided electronically.

Likewise, Option 2 functions similar to Address Service Requested. During the first 12 months after a new address is filed, the new address is provided electronically and the mail is forwarded. During months 13-18 after a new address is filed, the mail piece is destroyed but the new address is provided. After 18 months has passed since the filing, the mail piece is destroyed and a standard UAA code is returned electronically.

DANTOM Systems has already integrated this service with some ARM software systems and through its partnerships with every major collection software provider, the company is working to integrate this valuable functionality with even more.

Compliance
DANTOM's compliance products and services identify nonconforming documents and provide online tools for highly-efficient quality checks by your team. Nonconforming documents are removed from production, enabling your organization to save the cost of sending an unnecessary letter and reduce your legal risks.

File Rejects
This service works with your unique business rules to suppress communications if critical data elements are missing from your initial file transfer. In addition, all rejected files are reported daily.

Duplicate Record Check
This service detects duplicate records within the initial file transfer based on user defined rules and timelines. Duplicates are removed production and are noted in daily reports.

Duplicate File Check
This service compares incoming data files to previous transfers received from your organization within user defined time periods. Duplicate files are removed from production and reported daily.

Bankruptcy and Deceased
This service identifies bankrupt or deceased responsible parties and removes the letter from production ensuring your organization remains compliant with the FDCPA. As with all data services, bankruptcy and deceased service can be used together or separately. An electronic report will automatically update your collection software of the responsible parties’ status to enable your business rules to activate the next best step.

DANTOM Letter Householding
Common sense dictates that if you are going to mail two letters to the same person, you should send them in the same envelope. The DANTOM Letter Householding product applies this common sense to your collection letters. If you have more than one letter in a single incoming file of the same letter code with an exact name and address match, up to four pages can be mailed in the same envelope.

The mailing cost reduction can be dramatic.
